Privacy Policy
Effective and last updated September 21, 2026. This page relates to the Koa Readers website and content creation services.
1. Scope and who we are
This Privacy Policy describes how Koa Readers handles personal information when someone visits this website, contacts us directly, or discusses or purchases a content creation service. Our work covers content strategy, writing, social media assets, website copy, visual content, and short-form video editing. This notice concerns information handled for our own website and client relationship. A client may separately provide us content or information about its customers for an agreed project; the client remains responsible for giving us lawful instructions and appropriate permissions for that material.
Koa Readers can be contacted using the details at the end of this policy. This site is built for a Shopify storefront, and Shopify and any enabled applications may process technical information needed to operate the site. The precise providers and cookies in use should be checked against the live store configuration whenever this notice is published or revised.
2. Information we may receive
Information you provide may include your name, brand or business name, work email, phone number, correspondence, project brief, budget range, preferred service, files you supply, and billing details if we enter into a service agreement. We receive this information when you write to us, call us, or provide it during a project. Please avoid sending sensitive personal information or material about other people unless it is necessary and you are authorized to share it.
When you use the site, the storefront platform and enabled tools may automatically receive device and browser details, IP address, referral information, pages visited, approximate location derived from IP, and information stored in cookies or similar technologies. The demonstration inquiry form included in the accompanying Custom Liquid package performs validation only in the browser and does not transmit, store, or email the entries. If a functioning form service is later connected, this policy must be updated to describe that service and its processing.
3. Why information is used
We use contact and project information to respond to inquiries, prepare proposals, understand the requested work, deliver contracted services, manage revisions and invoices, provide support, maintain records, and protect the security and integrity of our operations. Technical information can be used to operate the storefront, diagnose errors, prevent misuse, remember preferences, and, only where enabled and permitted, understand site performance.
We do not treat a general website inquiry as permission to publish your work, share your brand as a client reference, or send unrelated promotional messages. Any portfolio use, testimonial, case study, or marketing contact should be based on a separate agreement or a valid legal basis.
4. Legal grounds and choice
Where a legal basis is required, processing may be necessary to take steps requested before a contract, perform a contract, comply with a legal obligation, or pursue legitimate interests such as responding to an inquiry and protecting the site, subject to applicable rights. Consent may be used where required for optional cookies or marketing. You can withdraw consent for future processing at any time, although that does not invalidate prior lawful activity.
Providing contact and project details is voluntary, but we may be unable to answer an inquiry or perform a service without information reasonably needed for that purpose. We do not make decisions about service eligibility solely by automated processing or profiling through this website.
5. Sharing and service providers
Information may be shared with providers that support hosting, storefront operations, communications, payment processing, cloud storage, security, and professional administration, to the extent needed for their work and under appropriate contractual obligations. A project may require approved contractors or collaborators; their access should be limited to the materials needed for the agreed work. We may also disclose information if a lawful request requires it, to protect rights and safety, or in a business transfer subject to applicable safeguards.
Our public site does not intentionally display a submitted brief or turn it into a testimonial. We do not assert that a list of third-party providers is complete until the actual Shopify applications, analytics settings, and forms are audited. Those tools may have their own notices that describe their processing.
6. Cookies and similar technologies
The storefront platform may use necessary cookies for site operation, security, preferences, and functionality. Optional analytics or advertising cookies can be present if those services are enabled. The separate Cookie Policy explains categories, available controls, and why the live cookie inventory should be checked before publication. Browser settings may allow you to block or delete cookies, though necessary functions may be affected.
If a consent banner or privacy-choice mechanism is required for your location, the live store should honor those choices before optional technologies are used. A theme color preference saved locally by this package is a browser storage setting for display only; it is not transmitted by the Custom Liquid code.
7. Retention and security
We keep personal information only for as long as reasonably necessary for the purposes described, including an active inquiry or project, accounting, dispute resolution, and applicable recordkeeping requirements. Retention periods can differ by category and the nature of a client engagement. When information is no longer needed, we delete, de-identify, or securely archive it as appropriate.
We use reasonable administrative and technical measures appropriate to the information we handle. No website, email, or storage system can be guaranteed perfectly secure. If you believe information you sent to us has been exposed or used incorrectly, contact us promptly using the details below.
8. Your choices and rights
Depending on applicable law, you may request access, correction, deletion, a copy of information, or a restriction or objection to certain processing. You may also withdraw a consent you gave, opt out of eligible targeted advertising or sale/sharing practices if such processing exists, and appeal a denied privacy request where local law provides that right. We will verify requests when appropriate and respond according to applicable law. We will not discriminate against someone for exercising a legally protected privacy right.
To make a request, describe what you need and how we can identify the relevant information using the contact details below. We may need additional information to verify your identity before disclosing personal data. If you are a client seeking rights about information you supplied for your own audience, we may direct you to the organization that controls that information.
9. Children, international access, and updates
This website and our business services are directed to businesses and adults. We do not knowingly seek information from children through this website. If we learn that a child has provided information without appropriate authorization, we will take reasonable steps to remove it.
Information may be processed where we and our providers operate, subject to applicable protections. If a material change is made to this policy, the revised text and its updated date will be posted here. The version in effect when you visit governs the website use described at that time. Questions and requests can be directed to the contact details below.
